What happens to a loan file after it closes

A closing is not the end of a loan file. The mortgage still has to record, the assignment behind it has to record in the right order, the final title policy has to arrive from the underwriter, and the lien the loan paid off has to be released by whoever held it. None of that happens on the closing date, and none of it happens on its own.

The gap is that nobody owns the wait. The closer has moved to the next file, the servicer has not boarded the loan yet, and the documents that will eventually prove the loan is what the file says it is are sitting with a county recorder, an underwriter or a prior lienholder. What turns that into a problem is time: a rejected recording that nobody chased for three weeks is the same rejection, but now it sits behind a transfer, an audit or a payoff that cannot wait for it.

Scalance runs that interval as tracked work rather than as follow-up. Outstanding items are inventoried at the point the file arrives, chased against the county, underwriter or custodian that actually holds them, and reported by age and responsible party - so a servicer can see what is missing, how long it has been missing and who is holding it, instead of finding out at the next audit. What is a recording rejection, and why does it matter so much later?

A county recorder refuses an instrument for a defect - a missing notary block, a wrong fee, an incorrect legal description, a signature that does not match. The document is returned unrecorded, which means that as far as the public record is concerned it does not exist. The loan is funded and the borrower is paying, but the lien securing it is not on record. Rejections are routine and individually easy to cure; they become expensive when nobody notices for a month and the file is by then part of a transfer or a foreclosure.

Why does a prior lien release need tracking? It was paid at closing.

Paying a lien and releasing it are two separate events, and the second is done by the party who was paid, not by anyone at the closing table. A payoff wires out, the prior lienholder is supposed to record a satisfaction, and sometimes months pass before they do - or they never do. Until that release records, the public record still shows an encumbrance ahead of the new loan, which surfaces at the next search as an exception that has to be cleared before the asset can be sold or transferred.

Do you prepare satisfactions and reconveyances yourselves?

They are prepared using instructions the servicer approves, not to a judgement made here. Releasing a lien is an act with legal effect taken on the lienholder's behalf, and the authority for it is theirs - what is delivered is the preparation and the recording follow-through against approved instructions, which is the part that consumes staff time.

What is a custodian exception?

A document custodian holds the original collateral documents and certifies what it is holding. An exception is a discrepancy between what the certification says and what is actually in the vault - a note without an allonge, an assignment that stops short of the current holder, a modification referenced in the data but absent from the file. They matter because a custodial exception schedule is what a buyer, a rating agency or a regulator reads to decide whether a portfolio is what it claims to be.

How does this differ from what is on the Secondary Market page?

The work overlaps and the buyer does not. The secondary-market page is written for a transaction - a pool being bought, sold or transferred, where the deadline is the trade date. This page is written for the servicer who owns the file afterwards, where the work is continuous and the measure is how long an exception has been open. Teams that do both usually need both.

Can this run inside our servicing platform?

Yes. Work is done in your system of record rather than exported into a parallel process that someone then has to reconcile. There is no migration step and no second source of truth for whether a document has arrived.
